Special Events Process

The First Cathedral leadership encourages its ministries to find creative ways to share the love of Jesus Christ including external organizations to utilize our facilities to promote healthy and family centered events for the community at large as well as for its individual organization.  With this in mind, all events including internal and external must be in harmony with The First Cathedral's mission statement and Biblical principles.

Internal Special Events
An internal special event is defined as a non-standard meeting or activity that is sponsored by one if its ministries either on site or off site. All internal events must be approved by the ministry cluster leader and The First Cathedral Special Events Coordinator (SEC) prior to the special event being placed on the church’s calendar or advertised.  The sponsoring ministry must complete an internal special event request form with a detailed budget and marketing assessment needs.

Procedure:

  • Review special event proposal with cluster leader
  • Complete the Internal Special Event Request Form with required signatures (including budget and marketing assessment)
  • Submit required forms to the Special Events Coordinator (minimum of 90 days prior to the event)
  • SEC to check calendar for availability of date (including Bishop’s calendar)
  • SEC secure quotes from Operations staff for event needs (e.g., Food Service, AV, Publications, and building coverage within 5 workdays from receiving request)
  • SEC prepares and reviews budget with Executive Director of Operations & Finance Ministry (within 10 workdays from receiving completed request form)
  • SEC communicates disposition to ministry (within 14 workdays from receiving completed request form)
  • If approved, SEC holds a face-to-face meeting with ministry contact person and oversees the event including finalizing contracts with external vendors.
  • SEC distributes appropriate paperwork/information to coworkers to update church calendar as well as initiating any marketing or financial support needed for the event.
  • Post evaluation of event with SEC, cluster leader, Ministry representatives
